Acceptable Use Policy

Why this policy exists: QuickReply sends emails on your behalf. That means what you send reflects on both your business and our platform. This policy sets clear boundaries to make sure QuickReply is used responsibly, legally, and in a way that doesn't harm others. It sits alongside our Terms of Service and Privacy Policy.

1. Permitted Use

QuickReply is designed for one specific purpose: automatically replying to legitimate property enquiries received via email by real estate agencies.

You may use QuickReply to:

  • Send auto-replies to people who have contacted you about a property listing
  • Attach relevant property information (brochures, floorplans, images) to those replies
  • Monitor and log incoming enquiries for your business records
  • Flag and review unmatched emails for manual follow-up

2. Prohibited Uses

You must not use QuickReply for any of the following purposes. Doing so may result in immediate suspension or termination of your account.

2.1 Spam and unsolicited messaging

Strict prohibition: You must not use QuickReply to send unsolicited commercial messages (spam). The Australian Spam Act 2003 carries penalties of up to $220,000 per contravention for individuals and up to $2.1 million for repeat offences.
  • Sending emails to people who did not contact you first
  • Using the service for cold outreach, marketing blasts, or bulk email campaigns
  • Configuring projects to match broad domains or generic keywords in order to send replies to unrelated emails
  • Attempting to bypass the 24-hour per-sender cooldown mechanism

2.2 Misleading or deceptive content

  • Sending auto-replies with false, misleading, or deceptive content (this also breaches the Australian Consumer Law)
  • Impersonating another business, person, or organisation in your replies
  • Using misleading sender names, subject lines, or email content
  • Making claims about properties that are false or unsubstantiated

2.3 Harmful or illegal content

  • Distributing content that is unlawful, defamatory, threatening, harassing, or abusive
  • Uploading files that contain malware, viruses, or other harmful code
  • Distributing content that infringes the intellectual property rights of others (for example, brochures or images you do not have permission to use)
  • Using the service to facilitate any illegal activity

2.4 System abuse

  • Attempting to access another client's data or accounts
  • Attempting to circumvent subscription plan limits (project, user, or email limits)
  • Attempting to bypass security measures, rate limits, or authentication controls
  • Using automated tools to interact with the QuickReply dashboard (scraping, bots, etc.)
  • Deliberately overloading the system or interfering with its normal operation
  • Signing up for multiple free trials using different identities or business names
  • Sharing your account credentials with anyone outside your organisation

2.5 Privacy violations

  • Collecting, storing, or using personal information from email leads for purposes other than responding to their enquiry
  • Sharing lead data obtained through QuickReply with third parties without proper consent
  • Using the service in a way that breaches the Privacy Act 1988 or the Australian Privacy Principles

3. Email Content Guidelines

To stay compliant with the Spam Act 2003 and the Australian Consumer Law, your auto-reply messages should:

  • Clearly identify your business — include your business name and contact details in the reply
  • Be relevant — respond to the specific property or topic the sender enquired about
  • Be accurate — do not include misleading property details, pricing, or availability information
  • Be professional — maintain a professional tone appropriate for business communication
  • Not be excessively large — keep attached files within reasonable sizes (each file under 3 MB, up to 5 files per project)

4. File Upload Guidelines

Files uploaded to QuickReply (brochures, floorplans, images) must:

  • Be files you own or have the legal right to distribute
  • Not contain malware, executable code, or harmful content
  • Be in an approved file format (PDF, JPG, JPEG, PNG, DOC, DOCX)
  • Be under 3 MB per file
  • Not contain illegal, offensive, or misleading content

5. Usage Limits

Your subscription plan includes specific limits on the number of projects, users, and monthly email replies. These limits exist to ensure fair use of the platform for all clients.

  • If you approach your monthly email limit, you will receive a warning at 80% usage
  • Once you reach your monthly limit, auto-replies pause until the next billing cycle (incoming emails are still logged)
  • If you consistently need more capacity, consider upgrading to a higher plan

We monitor usage patterns to detect abuse. Unusually high volumes, suspicious matching patterns, or other anomalies may be flagged for review.

6. Monitoring and Enforcement

We reserve the right to monitor service usage to ensure compliance with this policy. We do not routinely read the content of your auto-reply messages, but we may review them if we receive a complaint or detect suspicious activity.

6.1 What happens if you breach this policy

If we determine that you have breached this Acceptable Use Policy, we may take one or more of the following actions, depending on the severity and nature of the breach:

  • Warning: For a first-time minor breach, we will notify you and ask you to stop the offending activity
  • Temporary suspension: We may suspend your auto-reply capability while we investigate a potential breach
  • Account termination: For serious or repeated breaches, we may terminate your account immediately
  • Reporting: If we believe your use of the service involves illegal activity, we may report it to the relevant authorities (such as the ACMA for Spam Act breaches or the ACCC for misleading conduct)

Where possible, we will notify you before taking enforcement action and give you an opportunity to explain or remedy the issue. However, in cases of serious harm or legal risk, we may act immediately without prior notice.

7. Reporting Abuse

If you receive an email sent through QuickReply that you believe is spam, misleading, or otherwise inappropriate, you can report it to us at kap.heng@perennialit.com.au with the subject line "Abuse Report". Please include:

  • A copy of the email you received (including headers if possible)
  • The date and time you received it
  • A brief description of why you believe it is abusive

We take abuse reports seriously and will investigate all legitimate complaints within 5 business days.

8. Changes to This Policy

We may update this Acceptable Use Policy from time to time. When we make changes, we will update the "Last updated" date at the top of this page. For material changes, we will notify you by email at least 14 days before they take effect.
